Tip of the Week: G Suite Permissions Settings- Look before you share!
You want to make sure that when you Share something in Google (Docs, Sheets, Slides, etc.), that you know who can find and access it! You want to protect your information and make sure you look at the settings before you share!
SHARING:
When you select to “Share”, and click “Get Shareable Link” - the default is set to “Anyone at SAU 16 with the link can access” (this means that only SAU16 members, including staff and students can access this document IF they have the link).
I have color coded below permissions that can help protect your Google Docs, Sheets, etc. information from being shared unintentionally by using the wrong settings.
Green = Preferred settings for sharing.
Yellow= Be aware that the link can be opened by anyone who has it.
Red= Please take caution using these settings- the link can be searched and accessed.
Explanation of Sharing Permissions in Google Docs: (looks similar in all other G Suite Applications)
Access= can mean view or edit depending on how you choose the access setting at the bottom.
****Suggestion for sharing to a specific group: use Link Sharing Off- Specific People - You can choose this setting to share with
G Gmail Groups, such as EHS-Staff, or SAU- Staff to ensure that only those recipients will have access to the link.
